Great Swamp Fish, Game & Forestry Association

Great Swamp Fish, Game & Forestry Association is a non-profit sportsmen's club in Quakertown, Pennsylvania. This policy explains what information we collect from members and visitors, why we collect it, and what we do with it. In short: we collect what we need to run the club, we don't sell it, and we don't share it with anyone outside the organization except the vendors who help us operate.

Membership applications. When you apply for membership we collect your name, date of birth, mailing address, phone number, email address, occupation, and your sponsor's name and member number. Junior applications also collect the name and signature of a parent or legal guardian. We ask which club activities interest you so we can direct information to the right members.

Dues and payments. We record what you have paid and when. Payments made by check or money order are processed by our Financial/Membership Secretary. We do not store credit card numbers ourselves.

Website forms. Our contact form collects your name, phone number, email address, and your message. Our newsletter signup collects your name and email address.

Website use. Like most websites, our web host keeps standard server logs recording page requests, browser type, and IP address. These are used to keep the site running and secure.

Club grounds. The club grounds are under video surveillance. Recordings are used for the security of members and club property.

• To process membership applications and renewals, and to maintain the member roster
• To issue membership cards and track dues, volunteer hours, and orientation requirements
• To send you club news, event announcements, meeting notices, and the newsletter
• To answer questions you send us through the website, by phone, or by email
• To meet our record-keeping obligations as a non-profit corporation

We do not sell, rent, or trade your personal information. We share it only in these situations:

• Our website and membership software provider. Our website and member database are operated on MemberLeap, a service of Vieth Consulting. They store and process member information on our behalf and are not permitted to use it for their own purposes.
• Club officers, directors, and committee chairs, who need member contact information to run the club's business and activities.
• When required by law, or to protect the safety of members, guests, or club property.

The member roster is for club use. Members should not use contact information obtained through the club for commercial solicitation.

Junior membership applications are submitted and signed by a parent or legal guardian, who provides the information we hold about the junior member. We do not knowingly collect information directly from children through this website. A parent or guardian may review, correct, or ask us to remove a junior member's information at any time using the contact details below.

Members receive club communications as part of membership. Newsletter and announcement emails include a way to unsubscribe, and you may also ask us directly to stop sending them. We will still need to send you notices required for membership, such as dues and renewal information.

Our website uses cookies necessary for the site to function, including keeping members signed in to the member area. Most browsers let you refuse cookies, though parts of the member area may not work if you do.

You may ask us what information we hold about you, correct anything that's wrong, or ask us to remove information we are not required to keep. Members can also update their own contact details in the member area of this website. Contact us using the details below and we'll take care of it.

If we change this policy we will post the revised version on this page and update the effective date above.
